Messaging

Send and manage WhatsApp messages through the Whatify dashboard

Send WhatsApp messages, manage message history, and schedule messages for later delivery.

Overview

The Messaging section includes:

  • Send Messages - Send text and media messages
  • Message History - View sent messages and their status
  • Scheduled Messages - Schedule messages for future delivery
  • Bulk Messaging - Send to multiple contacts at once

Sending Messages

Send a Single Message

Send a message to one or more contacts:

  1. Navigate to Messages → Send Message
  2. Select Recipients:
    • Search and select from your contacts
    • Or enter phone number directly
    • Or select from tags
  3. Compose Message:
    • Type your message in the text area
    • Format text with markdown (optional)
    • Add emojis
  4. Add Attachments (optional):
    • Images (JPG, PNG, GIF)
    • Videos (MP4, AVI)
    • Documents (PDF, DOCX, XLSX)
    • Audio files (MP3, WAV)
  5. Click Send

Message Formatting

Use WhatsApp formatting in your messages:

*Bold text* - Makes text bold
_Italic text_ - Makes text italic
~Strikethrough~ - Adds strikethrough
```monospace``` - Monospace font

Example:

Sending to Multiple Recipients

Send to multiple contacts:

  1. Click Add Recipients
  2. Select multiple contacts:
    • Use checkboxes to select contacts
    • Or select entire tags
    • Or paste multiple phone numbers
  3. Compose your message
  4. Click Send to All

Each recipient receives an individual message (not a group message).

Attachments

Sending Images

  1. Click Add Image button
  2. Select image file or drag & drop
  3. Add caption (optional)
  4. Preview the image
  5. Click Send

Supported formats: JPG, PNG, GIF (max 10MB)

Sending Documents

  1. Click Add Document button
  2. Select file (PDF, DOCX, XLSX, etc.)
  3. Add caption (optional)
  4. Click Send

Supported formats: PDF, DOC, DOCX, XLS, XLSX, TXT (max 10MB)

Sending Videos

  1. Click Add Video button
  2. Select video file
  3. Add caption (optional)
  4. Click Send

Supported formats: MP4, AVI, MOV (max 10MB)

Sending Audio

  1. Click Add Audio button
  2. Select audio file
  3. Click Send

Supported formats: MP3, WAV, OGG (max 10MB)

Message History

View all sent messages and their delivery status.

Viewing Message History

  1. Navigate to Messages → Message History
  2. View list of sent messages with:
    • Recipient phone number/name
    • Message content preview
    • Timestamp
    • Delivery status
    • Message type (text, image, etc.)

Message Status

Messages can have the following statuses:

  • Pending - Message queued for sending
  • Sent - Message sent to WhatsApp
  • Delivered - Message delivered to recipient
  • Read - Message read by recipient
  • Failed - Message failed to send

Filtering History

Filter messages by:

  • Date Range - Select start and end dates
  • Status - Filter by delivery status
  • Recipient - Show messages to specific contact
  • Type - Filter by message type (text, media)

Searching Messages

Use the search bar to find messages:

  • Search by recipient name or phone
  • Search by message content
  • Search by date

Exporting History

Export your message history:

  1. Select date range
  2. Click Export
  3. Choose format (Excel or CSV)
  4. Download the file

Scheduled Messages

Schedule messages to be sent at a specific date and time.

Creating Scheduled Messages

  1. Navigate to Messages → Scheduled Messages
  2. Click Schedule New Message
  3. Select Recipients: Choose contacts or tags
  4. Compose Message: Write your message
  5. Set Schedule:
    • Select date
    • Select time
    • Set timezone
  6. Add Attachments (optional)
  7. Click Schedule

Managing Scheduled Messages

View and manage scheduled messages:

  • View List: See all scheduled messages
  • Edit: Modify message before send time
  • Cancel: Cancel a scheduled message
  • Reschedule: Change the send time

Scheduled Message Status

  • Scheduled - Waiting to be sent
  • Processing - Currently being sent
  • Sent - Successfully sent
  • Failed - Failed to send
  • Cancelled - Cancelled before sending

Editing Scheduled Messages

Edit a scheduled message before it's sent:

  1. Find the message in the scheduled list
  2. Click Edit
  3. Modify the message or schedule time
  4. Click Update

Note: You can only edit messages that haven't been sent yet.

Cancelling Scheduled Messages

Cancel a scheduled message:

  1. Find the message in the list
  2. Click Cancel
  3. Confirm cancellation

Bulk Messaging

Send messages to large groups of contacts.

Creating Bulk Campaign

  1. Navigate to Messages → Bulk Messaging
  2. Click New Bulk Campaign
  3. Name Your Campaign: Give it a descriptive name
  4. Select Recipients:
    • Select by tags
    • Select specific contacts
    • Import from Excel
  5. Compose Message: Write your message
  6. Add Personalization (optional):
    • Use variables like {"{{name}}"}, {"{{phone}}"}
    • Each message will be personalized
  7. Add Attachments (optional)
  8. Set Throttling:
    • Messages per minute (to avoid rate limits)
    • Delay between messages
  9. Click Start Campaign

Message Personalization

Use variables to personalize messages:

Hello {"{{name}}"},
Your phone number is {"{{phone}}"}.
Welcome to our service!

Available variables:

  • {"{{name}}"} - Contact's first name
  • {"{{lastName}}"} - Contact's last name
  • {"{{phone}}"} - Contact's phone number
  • {"{{email}}"} - Contact's email
  • {"{{city}}"} - Contact's city
  • {"{{country}}"} - Contact's country

Campaign Management

Monitor and manage bulk campaigns:

  • View Progress: See how many messages sent
  • Pause Campaign: Temporarily pause sending
  • Resume Campaign: Continue paused campaign
  • Cancel Campaign: Stop the campaign
  • View Results: See delivery statistics

Campaign Statistics

View detailed campaign statistics:

  • Total messages sent
  • Delivery rate
  • Failed messages
  • Average delivery time
  • Cost breakdown

Message Templates

Save and reuse message templates.

Creating Templates

  1. Go to Messages → Templates
  2. Click Create Template
  3. Enter template name
  4. Compose message
  5. Add variables (optional)
  6. Click Save Template

Using Templates

Use saved templates when sending messages:

  1. Click Load Template
  2. Select from your templates
  3. Customize the message
  4. Send

Template Variables

Create flexible templates with variables:

Template: "Hello {"{{name}}"}, your order {"{{orderId}}"} is ready!"

Usage:
- Replace {"{{name}}"} with contact's name
- Replace {"{{orderId}}"} with order number

Best Practices

Message Content

  1. Keep it Short: WhatsApp is for quick messages
  2. Be Personal: Use recipient's name when possible
  3. Clear Call-to-Action: Tell recipients what to do
  4. Avoid Spam: Don't send unsolicited messages

Timing

  1. Respect Time Zones: Send messages at appropriate times
  2. Business Hours: Avoid late night messages
  3. Frequency: Don't overwhelm contacts with too many messages
  4. Schedule Wisely: Use scheduling for better timing

Deliverability

  1. Valid Phone Numbers: Ensure numbers are correct
  2. Country Codes: Always include country codes
  3. WhatsApp Active: Recipients must have WhatsApp installed
  4. Rate Limits: Respect API rate limits

Compliance

  1. Consent: Only message people who opted in
  2. Opt-Out: Provide way to unsubscribe
  3. Privacy: Don't share personal information
  4. Regulations: Follow GDPR and local laws

Rate Limits

To ensure deliverability, Whatify enforces rate limits:

  • 30 messages per minute via dashboard
  • Lower limits for bulk campaigns
  • Cooldown periods after high volume

Message Costs

Depending on your subscription plan:

  • Free Plan: 100 messages/month
  • Basic Plan: 1,000 messages/month
  • Pro Plan: 10,000 messages/month
  • Enterprise Plan: Unlimited messages

Troubleshooting

Messages Not Sending

Check:

  • WhatsApp connection is active
  • Phone number is valid
  • Recipient has WhatsApp
  • You haven't exceeded rate limits
  • Subscription has available messages

Failed Messages

Common reasons for failures:

  • Invalid phone number
  • Recipient blocked you
  • Recipient doesn't have WhatsApp
  • WhatsApp connection lost
  • File size too large

Slow Delivery

If messages are slow:

  • Check your internet connection
  • Verify WhatsApp connection status
  • Check if rate limiting is active
  • Reduce bulk message speed
